How we use your personal information

This privacy notice is to let you know how the CIT Societies Office and Student Societies will look after your personal information. This includes what you tell us about yourself, what we learn by having you as a member of our societies, and the choices you give us about what communication you would like to received from us. This notice explains how we do this, tells you about your privacy rights and how the law protects you.

In general, CIT Societies Office and Student Societies do not collect, store, use or disclose personally identifying information except in very specific instances, such as, for example, when you subscribe to our membership updates, sign up to a society online or in the office, use our contact form, or request to be added to communication notices with a socieites committee representative. Whenever we collect such information, You may request access to, rectification, erasure or restriction of your Data, or object to the processing of your Data or Data portability at any time. The retention period for your data depends on the relationship with us, we need to retain societies membership data for a period of 2 years. We will respond to your request in writing as soon as practicable and in any event within one month of receipt of your request. We may request proof of identification to verify your request. Personal  Arrangements Information about specific accessibility requirements, medical conditions or dietary requirements you would like us to be aware of for the purpose of participating in socieites events and activities.

Society membership Information Details of the society memberships you hold.

Communications What we learn about you from letters and emails you write to us, and conversations between us.

Consents Any permissions, consents or preferences that you give us. This includes for example how you want us to contact you, whether you have opted into receiving central communications.

Where we collect personal information from

Data you give to us:

  • When you apply for membership to a Society or Societies Office programmes including the CIT Volunteer Abroad programme.
  • When you register as an elected Student Society Committee Officer
  • When you talk to us on the phone or in person
  • When you use our website
  • When you give us your business card
  • In emails and letters
  • In participants surveys

Who we share your personal information with

The Societies Office and Student Societies may affiliate to or collaborate with a third party organisation. We will not disclose your Data to third parties unless you have consented to this disclosure. We may share your contact and student information with the relevant society to your particular membership request.

Our Site may, from time to time, contain links to and from other websites. If you follow a link to any of those websites, please note that those websites have their own privacy policies and we do not accept any responsibility or liability for those policies. Please check those policies before you submit any information to those websites.


How long we keep your personal information

We will keep your personal information for as long as you are a member of a Society plus 1 year. We will always make sure that your privacy is protected and only use it for those purposes.

Letting us know if your personal information is incorrect

You have the right to question any information we have about you that you think is wrong or incomplete. Please contact us if you want to do this.

If you do, we will take reasonable steps to check its accuracy and correct it.


What if you want us to stop using your personal information?

You have the right to object to our use of your personal information, or to ask us to delete, remove, or stop using your personal information if there is no need for us to keep it. This is known as the ‘right to object’ and ‘right to erasure’, or the ‘right to be forgotten’.

Right to rectification – to have your personal information corrected if it is inaccurate and to have incomplete personal information completed
Right to erasure (also known as the Right to be Forgotten) – to have your personal information erased.
Right to restriction of processing – to restrict processing of your personal information
Right to data portability - to electronically move, copy or transfer your personal information in a standard form
Right to object - to object to processing of your personal information
Rights with regards to automated individual decision making, including profiling –rights relating to automated decision making, including profiling
